Joubert Law Firm is seeking a professional, positive, and self-motivated Office Operations Coordinator & Director of First Impressions to join our team in Baton Rouge.
This key front-line team member plays a vital role in shaping the client experience and ensuring the smooth operation of our office by handling phone communications, greeting clients, and assisting with essential administrative functions.
Key Responsibilities Include:
- Answering and directing incoming phone calls with professionalism, courtesy, and prompt responsiveness;
- Greeting clients, visitors and delivery personnel warmly, while creating an exceptional and welcoming first impression that reflects the firm's values;
- Supervising and coordinating runner activities, ensuring timely completion of assigned tasks and adherence to firm standards;
- Maintaining a pristine and organized reception area that projects professionalism and attention to detail;
- Coordinating client appreciation initiatives;
- Maintaining accurate records with regular updates within the firm's case management software system;
- Procuring office supplies and materials, maintaining adequate inventory levels for smooth operations;
- Maintaining current and organized password management systems for reception and runner staff access, and
- Performing additional administrative duties as assigned to support overall firm operations and efficiency.

Requirements
- Our ideal candidate will have at least a year of experience working as an office manager, receptionist or similar role.
- Must pass a background check.
- Candidates should be familiar with working in an office environment.
- Must be computer literate and have a working knowledge of Microsoft Office 365 and Teams, and be willing to learn and work with a case management software.
- Excellent communication and people skills are essential.
- Candidates must have administrative and organizational skills and be able to prioritize and handle multiple tasks simultaneously effectively.

The offered pay to a successful candidate will depend on several factors, including but not limited to years of experience within the job, years of experience within the industry, education, etc.
